The LED on the transceiver will be lit green when the tranceiver is powered correctly.

2) Connect the tranceiver to the computer using the serial cable provided. If your computer does not have a serial input you will need to purchase a serial to USB cable converter available at all computer hardware stores and then plug the cable into a USB port.

3) Open the Spawtz scoring application and select "Configuration Settings" from the main menu.

4) Select the "Remote Control Settings" tab.

5) In the "Remote control comm port" field, select the port that the tranceiver is plugged in to (if there is only one serial port on your computer this port will be selected by default)

6) Put the cursor into the "Remote serial number" field and then press any button on the remote control. The serial number should appear in the text box. Alternatively, you can type the serial number in directly (the serial number is printed on the back of the remote controls).

7) Click "Save"

The application should now be linked with the remote. Test this by pressing home team plus or minus or away team plus or minus (buttons 1, 3, 2 and 4 respectively on the remote) to try to move up and down on the main menu. If the linking was successful, the selected item will change as you move up and down the menu.

Register your license in the Spawtz scoring application

Abstract:
1) On the main menu select "Add License" or select "Configuration Settings" and then select the license tab in the config settings

2) EITHER open your license file and copy and paste all the information into the textbox, OR browse to the location of the license file and select it.

3) Click "Update License". Select the user or users who officiated and move them into the right hand box, and then click save:

On the duty report screen, fill the officials selection box by clicking "Add" next to the fixture in question. Clicking Add will bring up a popup containing a list of all the users who are available to officiate at the venue in question. You can then select one or more users and click one of the links below the selection box to add them either to that fixture alone, to all the fixtures on that court for that day (as it will often be the case that one particular user officiates all the fixtures on one court on a particular night) or to every single fixture that occurred at that venue on that night. Spawtz decides whether to display the fixtures and standings based on the start and end dates of the relevant season.

So, for example, if the date today is the 5th of January and the season for the fixtures you are interested in begins on the 10th of January, those fixtures will not be visible on the external part of the website until AFTER the 10th of January. They will continue to be visible there until the END of the relevant season. Say the season ends on the 5th of March, on the 6th of March the fixtures and standings will cease to be visible on the external part of the site.

If you wish to extend the time during which the fixtures and standings are visible, increase the length of the relevant season.

Note that the season start and end dates can either be set in the season itself (via "Leagues" / "Seasons" and the clicking "Details" next to the season in question) or directly within the league details screen for the league in question (via "Leagues" then clicking "Details" next to the league in question and then by selecting specific start and end dates for the season in question within this league).

How do I every fixture for a league at once?

Abstract:
To delete all fixtures for a particular season at a particular league, do the following:

Click "Fixtures/Bookings"

Click "List fixtures by League, enter quick results and update statistics"

Select the venue, league, season and if applicable, division that you want to delete fixtures for

Check the checkbox in the header of the fixtures table. To modify the configuration, click "Config". You can then change the number of balls per over, players per team, the sponsorship image and any other images.

To score a game, first select the team that is batting first from the first team drop down list. Then, select the names of the first pair of batsmen from the batsmen drop down lists. If the player's name does not already appear in the list you can add it by selecting "New player..." from the drop down list and then typing the player's name in. That player's name will then automatically be added to all the other drop down lists for that team. Similarly, you can select the bowler's name from the bowler drop down list and enter a new player's name in that box if the name does not already appear.

The timer that is displayed in the application has a default time of 60 minutes. The day after email goes out the day after fixtures reminding about the fixture next week, the day before reminder goes out the day before asking for confirmation of availabilities. Select whichever one you want to update (and if you want to update both, just do the following steps for both entries)

4) All auto text entries can be configured at a venue level. There is a "Company wide" version and a venue version for each entry. As an administrator, you can udpate all the versions, and you can also choose to have the company version override all the venue versions. However, if you have the company version override all the venue versions you must be aware that any venue specific information that venue managers may have entered into their version of the auto text will be overridden as well (such as venue contact details, venue event information etc). You may choose to add the banner to EVERY version of the autotext. Although this is more time consuming it will mean that you are not overwriting venue level information.

5) Select the version you want to update from the Version drop down list

6) Above the text that goes out in the fixture reminder emails is a tool bar. In this toolbar is an icon that says "Source". Click this icon now to go into source mode.

7) You will notice that the text in the section below becomes the actual HTML source of the text. This is what you are going to modify

8) Prepare the html that you want to add to the reminder. This will probably be an image which links to a page on your website. The html for this takes the following format:

<a href="THE

Where can I find the user guide?

Abstract:
For more information regarding teams, seasons, leagues, divisions, statistics, payments, line items, statements, users, fixtures, fixture generation etc, please see the Spawtz user guide at http://www.spawtz.com/userguide.doc

How Do Conditions work exactly when generating new fixtures?

Abstract:
You can create fixture conditions to make the system try to ensure that all teams play a certain number of games at a certain time or on a certain day etc.

So for example, if you create a fixture condition on step 6 of the fixture generation process that states "All teams must play fewer than 3 games on any day at 21:00", the system will try to ensure that no team plays more than 2 games at 9pm.

Fixture conditions take precidence over team preferences, and if the system cannot ensure that all teams adhere to the conditions (say because there are not enough playing areas available, or because some conditions prevent others being satisfied) it will warn you of that fact on the suggested fixture list.

You can also add conditions to a league via the "Conditions" button next to the league in the league list. Adding conditions to the league means you do not have to add them every time you generate fixtures - they remain in place at all times.

Resend all fixture reminders for a particular league

Abstract:
In some instances you may wish to resend all the fixture reminders that would have been sent out for a particular league on a particular date. This is especially useful if you create your fixtures only one week in advance, or when you are creating your finals series. In these instances, you may be creating the fixtures at a later date than the reminders would have been sent out, so often the first reminders do not get sent. To remedy this situation you can resend all the reminders for a particular league by following the following steps:

1) Click "Leagues"
2) Click the "Reminders" button next to the league you are interested in
3) Above the fixture reminder schedules for the league is a link entitled "Resend reminders for this league for a particular date". Click this link.
4) You will be presented with a screen that looks like this:

Select the reminder type and date that you want to resent reminders for from the textboxes at the top. This screen will then show a list of all the teams that will be sent the specified reminder on the specified date. Note that if the fixture about which they would be reminded is in the past, or if they have the specified reminders turned off (see the team's details page to change that setting) the screen will inform you of that fact and indicate that reminders will not be sent.

Once you are sure that the reminders that will be sent are the reminders that you want to be sent, click the "Send Reminders" button at the bottom of the screen. The system will send the reminders and report a list of all the recipients of the reminder.

For information on how to send or resend fixture reminders for a specific fixture only, see the article entitled Resend fixture reminder emails for a par

Resend fixture reminder emails for a particular fixture

Abstract:
There are two possible methods for resending fixture reminders. The first is to send the reminders on a fixture by fixture basis. To send reminders for a fixture, follow these steps:

1) Browse to the fixture you wish to resend reminders for. You can do this either in a team's fixture list, or a league's fixture list or via the calendar.
2) Once you are viewing the details of the fixture, click the "Reminders" link that appears along the top:

3) Once you have clicked this link you will be presented with a screen that looks as follows:

This screen shows a schedule of when the first and second fixture reminders were/are due to be sent, and also shows if the reminders will NOT be sent for any reason. In the example above, you can see that the second fixture reminders will NOT be sent for the team "Usual Suspects" because they have their second reminders turned off.

This screen also shows a list of all the reminders that have ALREADY been sent for this fixture. In the above example, no reminders have been sent, but if reminders had been sent you would also be able to see what the date and time of the fixture was at the time the reminder was sent. This is useful to ensure that teams have not been reminded about a fixture that has subsequently changed date and or time.

To resend the first or second reminders to either or both of the teams involved in this fixture, select which reminder you would like to send from the drop down list in the bottom section of the screen, then check the checkbox next to the teams to whom you would like to send the reminder and then click "Send/Resend Reminders". This way players have two opportunities to inform their team captains of their availabilities, and you as the venue or league managers have two chances to communicate with the players to inform them of their fixtures and any other information you want to tell them.

In some instances, you may wish to turn on or off these reminders, or you may wish to have the reminders sent on a different schedule. This is useful if for instance you create your fixtures only one week in advance. In these cases, reminders that go out on the day after previous fixtures may be no good, as the next fixture may not yet have been created, so the reminder will be skipped.

To modify the fixture reminder schedule for a venue, follow these steps:

1) Click "Config"
2) Click "Scheduled Task Configuration"
3) Click on the reminder for which you want to modify the schedule

You will then be presented with a screen that looks like this:

To change the fixture reminder schedule for a particular venue, first select the venue from the "Version" drop down list (note that if you are an administrator, a "Top Level" item will also appear in this list, and this is the item that you should modify if you wish to change the schedule for ALL venues). Then, you can change the schedule using the options in the "Schedule Details" section. Note that in most instances, it will be sufficient to inherit the fixture reminder schedule from the parent of this item.

To modify the fixture reminder schedule for a particular league, simply click the "Reminders" button next to the league in question in the leagues list.

Fixture reminder emails were not sent out

Abstract:
Fixture reminder emails are sent at approximate 8am in the morning. If a team or teams have not received a fixture reminder email, then the reason is probably one of the following:

1) The team's next fixture was created after the fixture reminder script ran. For example, if the team played a fixture last night but at the time that the fixture reminder script ran (approximately 8am) there was no next fixture for them in the database, no fixture reminder email will have been sent. Even if a next fixture is subsequently created for them, the reminder email will not be sent automatically, so you will need to manually inform the team of their next fixture.

2) The team's email reminder checkboxes may not be checked. Each team can chose to turn on or off fixture reminder emails. They can turn on or off the day after reminders, the day before reminders or both. To check if they have done this, look in their profile (click "Details" next to the team name in the team list or click the "Details" link after doing a quick lookup for the team). There are two checkboxes - "Reminder email on the day after fixtures" and "Confirmation email on the day before fixtures". If these checkboxes are unchecked, the corresponding reminder emails will not be sent.

3) The players' email reminder checkboxes may not be checked. Each player within a team has the ability to turn off fixture reminders for any or all of the teams they are associated to. If they turn them off, they will not receive reminder emails. To see if a player has turned off fixture reminder emails for a particular team, look in their profile (click the "Details" button next to the user in the users list or click the "Details" link after doing a quick lookup for the user). Next to each team that they are associated to will be an "Email Reminders" checkbox. To do this, go to the company version of the text (Which is the version that is displayed when you first view the text) and UNCHECK the "Override venue versions" checkbox, then click save. Then you will be able to modify the venue versions.

If you are not an administrator you will have to ask an administrator to open up the autotext to venue versions. Both of these messages are configurable via the auto text configuration section of the control panel.

The values of these fields are only of pertinence to online registrations. You can go over the team count when you create teams manually and you can manually register teams into a league even if the "Allow registrations" checkbox is unchecked.

Emailing your database or getting everyone's email addresses

Abstract:
There are three ways that you can email users using the Spawtz system.

1) You can do it via the communication tab. Just select the criteria of the users you want to contact and then step through the process (making sure to send yourself a test email in the process to make sure it all looks right)

2) You can get the email addresses of everyone in the system by clicking the "Get User Details in Excel" button above the user list on the "Users" tab. You can then copy and paste the email addresses into your normal email composing software. Be sure to send using the BCC field instead of the To or CC field though to ensure that no one accidentally replies to all.

3) As with step one, you can get the email addresses of only a subsection of your database by selecting the appropriate criteria on the first step of hte communication process, then going past the second step by entering dummy values in the subject and body of the email and then on the third step the system will display a list of all the peopel (including their email addresses) that it is about to send the email to. You can then copy and paste this email address list into excel or something like that to get access to the email addresses.

I can't generate fixtures because Spawtz says that a playing area is locked

Abstract:
When generating fixtures you may receive a message saying "{User} is currently generating fixtures for this playing area". This is because that user has some resources that you are trying to use in your fixture generation process locked.

When a user generates fixtures, Spawtz LOCKS any playing areas that are being used in that process at the point when it displays the suggested fixture list. This is so that you can then move fixtures around before saving them without having to worry that someone else may create a fixture at the same time you want to create one. However, if you leave the suggested fixture list page in any way other than by clicking "Confirm and Save" or "Prev", these locks will REMAIN IN PLACE. No other users will be able to create fixtures on those playing areas until the locks are removed.

To remove the locks, simply start the fixture generation process again. If you are not the person who has the locks, you must contact the user that the system says has the locks and ask them to start the process again.

No recipients are selected when sending a communication

Abstract:
When adding recipient criteria to a communication there are two ways to select multiple venues, leagues, seasons or teams.

The first way is simply to select multiple items by holding down the "Ctrl" key and clicking on each of the items you want to send to before clicking "Add" to add the criteria.

The second way is to add the items one at a time. To create a season, go to Leagues/Ladders then Seasons and then click "Add Season". Give the season a descriptive ame (for example, "Cricket Winter 2006") and set the start and end dates for the season. Associate your venue to the season and click save.

2) Associate the season to the league. Click "Details" next to the league you are interested in. Under "Seasons" Click "Add a season" and then select the season you have just created from the drop down list that appears. If this league will use the default start and end dates for this season then leave the radio button next to "Inherit dates from season" checked. If this league will use slightly different start and end dates, click the radio button next to "Start" and then fill in this league's specific start and end dates.

3) Your league will now be ready to accept registrations for the new season. When you click on "Divisions/Teams" next to the league you are interested in you will see that there are now multiple options in the seasons drop down list at the top of the screen. The default selected season is the most recent season - ie, the new one. At first, there will be no teams or divisions in this season. To see a previous season's teams/divisions, select that season from the drop down list at the top.

4) There are 3 ways to assign teams to the new season. You can assign teams manually by selecting the team name from the drop down list at the bottom of the page and clicking "Associate team". Or, you can allow teams to register themselves online. And finally, you can copy all the teams/divisions from a previous season to this season.

Copying teams/divisions is the easiest way to associate a large number of teams to

Team counts are incorrect when generating fixtures

Abstract:
On step 2 of the fixture generation process, you may notice that the team count information is not the same as the actual team counts within divisions.

This problem is caused by a caching issue. Spawtz caches all the team count, team preference, team name and division name information when you start the fixture generation process. If you subsequently CHANGE this information (for example by adding or removing a team from a division or changing a team's name) the fixture generation process will not pick up this change.

You can get around this problem by doing the following:

1) On step 1 of the fixture generation process, select any league OTHER than the league that you want to generate fixtures for, and then select any random division. Then click Next

2) On step 2, click Prev to go back to step 1

3) Now select the actual league you want to generate fixtures for and select all the divisions you want to generate fixtures for

4) Click Next, and the team counts on step 2 should now be correct.

Selecting a different league on step 1 of the fixture generation process clears the fixture generation cache and causes the system to reload all the team and division data correctly.

How can I add an attachment to a communication?

Abstract:
There is no way to attach documents to a communication at the moment. This is an oversight, and is on the roadmap for future functionality. In the meantime, there are three possible ways around the problem. The third way is the one that is probably best:

1) Convert whatever it is you want to send into HTML (if it's a word document there is a "Save as HTML" option under the file/save menu in word). Then you can click "Source" on the email toolbar, copy and paste the html into the text area, then click Source again, and the document should be formatted properly.

OR

2) Upload whatever it is that you want to send to a server somewhere (via whatever method you use to maintain your website) and then send an email to everyone with a LINK to that file within the email.

OR

3) Select whatever criteria you want to use to send the email as per usual (ie select all your leagues/teams etc). Then go to the next step. Type any old thing into the subject and body text and click next. On the last step you will see a LIST of all the people/email addresses that the system is going to send to. You can then copy and paste this list out of the web browser and into excel, and then copy and paste all the email addresses out of excel and into your usual email sending program (outlook I would guess). Then you can attach and send as usual. NOTE: If you use this method, BE SURE TO PUT THE EMAIL ADDRESSES IN THE BCC Field, and not the TO field - otherwise if someone accidentally clicks "Reply to all" they will send an email to everyone on the list.

Marking a game as forfeited

Abstract:
When a team forfeits a fixture, you still have to enter a score for that fixture. You do this by editing the details of that fixture, checking the "Fofeit" checkbox for the team that forfeited, and entering a score in favour of the team that did NOT forfeit.

What happens then is:
1) The system allocates however many points are specified in the league details screen for a win to the team that didn't forfeit
2) The system allocates however many points are specified in the league details screen for a forfeit to the team that DID forfeit. This can be a negative amount

If you want to then make it so that the team that arrived doesn't get actually get awarded any points you can create negative bonus points for that team. Similarly, in the "View/Modify Standings" section under "Divisions/Teams" for the league you can manually modify the number of runs scored for the team that did not forfeit to remove the runs that you had to add when saving the fixture.

Cross League Fixtures show up twice in the control panel fixture list

Abstract:
"Cross League" fixtures essentially get associated to EVERY division that either of the teams playing are in. So for example, if you have Team A in division 1 and Team B in division 2 and you create a cross league fixture between these two teams, the fixture gets associated to both those divisions, and therefore shows up in the list twice.

However, in the example above, there is no real reason for this fixture to be set as "Cross League" - as it is not, strictly speaking, cross league. It is just cross division. So you can create this fixture by just selecting the league, and the season and leaving the division blank - that way, the teams available to play that fixture will be ALL the teams in the league. In that case, the fixture would only be associated to that particular league/season and would only show up in the list once.

Cross league fixtures are for just that - fixture that are between two teams in completely different leagues. And once the cross league fixture has been created, it will show up in the fixture list for both of those leagues.

Fixtures are displayed incorrectly on the external website

Abstract:
Fixture lists and standings tables are the sorts of things that are viewed hundreds of times a week, but only updated once or twice a week. As such, Spawtz caches the fixture lists and standings tables so that it doesn't have to go to the database every time someone views their fixtures or standings.

The cached standings and fixtures are cleared whenever a fixture is modified. However, some changes such as team swaps or team name changes will not cause the cache to be cleared. In these cases, the fixtures that are displayed on the external site may appear incorrectly.

To fix this problem, simply edit and save any fixture within the affected league without making any changes. Saving the fixture will cause the fixture list cache and the standings cache to be cleared and regenerated.

Line items do not affect the outstanding balance

Abstract:
Line items can have a "Due date" associated to them. If the due date is in the future, it should not count towards a team or user's OUTSTANDING balance - the outstanding balance is just that: the amount that the team or user owes right now. So if the due date for a line item is in the future, they do not owe that amount yet, so it will only reflect in the total balance, not the outstanding balance. Once the current date passes the line item due date, that amount will reflect in both the outstanding amount AND the total amount.

Swapping teams between divisions

Abstract:
When you swap teams in the Spawtz Application you do so via the Teams/Divisions button next to the league you are interested in.

Check the checkbox next to the two teams that you want to swap. Either the fixture has been scheduled at a time that is bad for the home or away team (according to the team preferences that you may have set for them via the preferences button in the team list), or there is a player clash (someone on one of the teams is also playing in ANOTHER match at the same time) or there is a team clash (the team is scheduled to play another match at the same time). You can find out the details of the warning by hovering over the fixture in question - a pop up will appear with more information

Red: The system could not find a time at which to schedule this fixture. The system WILL check to make sure that enough playing area/time slot combinations are selected for each division, but if you select the SAME time slots and playing areas for each division, by the time the system gets to the last division it may have run out of slots
2) There are already fixtures or bookings allocated to the playing areas you selected at the times you selected - ie, OTHER fixtures or bookings that you have manually created.

You can change the time and or playing area of a RED fixture by clicking the little "edit" icon next to the fixture, but you should only really need to do that in very rare cases. No line item will be created for the deposit amount, it is simply the amount that teams will have the option of paying when they register in order to confirm their space.

Full price. The amount that will be added to a team's statement when they register or are associated to a league. Their statement will show this line item as "Registration fee - {League name} - {Season name}" where league name and season name pertain to the appropriate league and season.

Cost per round. This amount will be added to a team's statement every time they are associated to a fixture within the league. Fixture line items become due on the day that the fixture is played.

An often made mistake is to set the "Full price" field for a league to be the actual amount that a team would be billed if they were to play all the fixtures for that season and then to also set the "Cost per round" field to the cost that that works out to per round. "Full Price" is the value of the Full Price field in the league details screen.

If a team's statement is not showing the league fee that you would have expected it to once they have registered or once you have associated them to a league, check the value of "Full Price" on the league details screen to make sure it isn't zero.

Subsequent to the league fee, if the "Cost per round" fee for a league is greater than zero, each team in the league will get another line item of that amount added to their statement for every fixture that they play in that league.

A team has paid, but they still have an outstanding amount on their statement

Abstract:
If you update a team's status with a league (for example you change their status from "Interest" to "Fully paid") because you have taken a payment from that team, you must ALSO add a payment for that team via their statement. If you do not add a payment for the team, their statement will still show an outstanding amount.

To add a payment, view the statement for the team in question, and then click "Add a payment for this team". Select a payment type other than "Credit card" if you have already accepted payment - payment types of "Credit card" will take you to the payment gateway.

Team and Individual registration emails

Abstract:
When a team registers in a league, the manager and any venue managers of all the venues that the league is associated to will receive an email containing the details of the registration. Similarly, when an individual registers, venue managers of any venues at which the user indicated they would like to play will receive a registration details email.

The manager and venue managers are set via the "Venue" details screen. You can change who is the main manager of the venue there: Config Settings/Venues/"Details" next to the venue you are interested in. You can also add and remove "other" venue managers there.

NOTE: If you remove a venue manager from the venue managers selection box not only will they cease to receive the registration emails but they will also be unable to view any of the information about that venue (including leagues, teams and users).
